Business Administration Assistant

We are seeking a motivated business administration professional for an important role in our unique and growing business. You will play a crucial role in ensuring the smooth operation of our business processes and supporting our team in achieving their goals.

This will be a permanent role based in our Dundee office.  

The role 

This role will provide essential support services to our teams in Newcastle and Dundee, and contribute to wider business activities. You will support functions across the Operations team, including bid and contract management, information management, and record keeping for HR, finance and facilities. Typical activities will include: 

  • identifying and tracking bid opportunities through online portals 
  • supporting the development and submission of tenders 
  • maintaining project and business databases and records 
  • monitoring data management procedures and compliance within the company 
  • assisting with administration tasks such as travel arrangements, event planning and scheduling meetings  
  • collaborating with team members to streamline processes and improve efficiency 
  • handling incoming enquiries and requests in a professional and timely manner 
  • communicating professionally and appropriately with employees across the business 

Skills and experience 

You will be detail-oriented, highly organised, and possess strong communication skills. 

As an ideal candidate, you would have: 

  • previous experience in a similar role in a professional office environment.  
  • be a flexible, well organised self-starter who is able and willing to support a wide range of activities  
  • excellent communication and interpersonal skills.  
  • high level of competency in Microsoft applications including Sharepoint, Word, Excel, Teams, and Outlook.  
  • excellent verbal and written communication skills. 
  • ability to think logically and be methodical, with a high attention to detail. 
  • enthusiasm, willingness to learn and to go that extra mile. 
  • knowledge of the importance of data privacy and best practice in information management best practice.
